Acumatica Licensing Explained

Intelligent Technologies believes in answering any questions our customers and potential customers may have about the solutions and products we offer. As Acumatica Cloud ERP Partners, some of the most common questions we receive are about Acumatica pricing and how it works. So, we have compiled this handy FAQ filled with answers to your pricing and licensing questions.

How does Acumatica charge its users?

In contrast to almost every other ERP available in the market, Acumatica does NOT charge a per-user fee. Instead, Acumatica offers unlimited users and charges based on usage that it measures in transactions per hour, as well as features used. If that seems a bit murky, let’s break it down into the three main factors that determine Acumatica

What are Acumatica’s three pricing factors?

Acumatica Pricing is based off three factors: Size, Functionality, and Licensing.

Let’s talk size

 

When it comes to size, Acumatica calculates pricing based on the resources needed for your company’s projected level of transactions.

 

The options are small, medium, and large. Small companies are those averaging 25 users and up to 10,000 transactions per hour. This is the most popular choice.

 

Acumatica’s creators designed it to help your company grow and to adapt to your changing needs. As new users are added, Acumatica adjusts the level of resources, data storage capacity, and power consumption needed to provide consistent service.

Let’s talk functionality

 

As for functionality, Acumatica pricing is determined on which and how many applications your company needs to start using right away. Acumatica is offered in Standard, Advanced, and Enterprise editions. The standard edition includes only core financial modules and is meant for very small companies. The Advanced edition is the most common choice and includes nearly all Acumatica modules. The Enterprise edition is designed for larger companies and corporations which need added functionalities. Acumatica also offers options for specific industries with its Commerce Edition, Field Service Edition, and Manufacturing Edition. Your company can pick and choose the features it needs and add functionalities and applications as it grows.

Let’s talk licensing

 

Acumatica offers three different licenses: SaaS Subscription, Private Cloud Subscription, or a Private Perpetual License. The most popular license is a SaaS Subscription, in which a dedicated IT organization such as Intelligent Technologies provides installation, service, and maintenance for your Acumatica Cloud ERP, while your company pays an annual fee. You can also rent Acumatica with a Private Cloud Subscription for an annual fee or pay a one-time fee and buy a Private Perpetual License.

Either option can be deployed on-premise or on the hosting provider of your choosing.

How are those transactions per hour measured?

Let’s demonstrate with a quick example:   Company A is a small business with a total of 50 users. Since Acumatica allows unlimited users, what really matters is how many transactions these users are making per hour. A transaction is considered any change made to a record. Each record has multiple categories that count as a record change, and each category has a maximum number of transactions per hour that can be made before moving on to the next tier (small, medium, or large). For a small company that number would be 10,000 transactions per hour, per category. Therefore, Company A can make 9,900 PO transactions, 9,000 SO transactions, 9,900 CRM transactions, and so and so forth, without having to move up in tier.

What happens if my company needs more transactions on only certain months of the year?

Acumatica allows seasonal use and bursting, which means you won’t have to move up to the next tier unless you are consistently hitting the threshold per category.

Acumatica does not publish its price list, but you can get a quote from Intelligent Technologies by answering a few quick questions.
